This policy explains what information Ohio Registered Statutory Agent LLC ("we," "us") collects when you use our website, our statutory agent service, and our client portal, how we use it, and the choices you have. Documents we receive for your business are handled as confidential business records.
Information we collect
- Account information: your name, email address, mobile number, password (stored only as a secure hash), and two-step sign-in settings.
- Business information: legal names, Ohio entity numbers, entity types, contacts, forwarding addresses, and the people you authorize to access the portal.
- Documents and mail: service of process, state and tax correspondence, and other mail delivered to our agent address for your business, including scans, envelope images, and the dates printed on them.
- Signatures and consents: the name, title, and typed signature you provide when appointing us, with the date, time, agreement text, and browser details.
- Billing information: invoices, payment status, and the last four digits and expiration of your card. Full card numbers are handled by our payment processor, not stored by us.
- Activity records: when documents are published, viewed, and acknowledged, notifications sent and delivered, requests you make, and error reports from your browser.
- Messages you send through our contact form or portal.
How we use information
- To act as your statutory agent: accept service of process and official mail, match it to your business, scan it, publish it to your portal, and notify your contacts.
- To file appointments, agent changes, and resignations with the Ohio Secretary of State.
- To ship original documents you request and to keep the audit record of receipt, delivery, and acknowledgment.
- To bill for the service, send receipts and renewal reminders, and prevent fraud.
- To secure accounts, investigate problems, and improve the portal.
- To comply with law, court orders, and requests from government authorities.
We do not sell your personal information, and we do not use the contents of documents we receive for marketing.
Text messages
If you give us a mobile number, we send texts about documents received for your business, acknowledgment reminders, and account security. Message frequency varies with the mail you receive. Message and data rates may apply. Reply STOP to opt out or HELP for help. Opting out of texts does not stop email notifications, and we may still contact you by other means when a legal document arrives. Mobile numbers and text consent are not shared with third parties for their marketing.
Who we share information with
We share information only as needed to provide the service:
- People you authorize on your account, limited to the businesses and document types you choose.
- Service providers that host and operate the portal and deliver messages on our behalf, including our database and file storage provider, our website host, our payment processor, and our email and text message providers. They may use the information only to provide services to us.
- The Ohio Secretary of State and other government offices when we file or respond on matters involving your appointment.
- Courts, law enforcement, or other parties when the law requires it, or to protect our rights and the safety of others.
- A successor business if our company is sold or merged, subject to this policy.
Business Tools workspace
If your plan includes a Business Tools workspace, that workspace runs on a separate third-party platform with its own terms and privacy policy. Statutory agent documents, acknowledgments, and audit records stay in our portal and are not copied into the workspace.
How long we keep information
- Scanned documents and the audit record stay available in your portal while your account is open and for at least 90 days after service ends.
- Physical originals are held by category: service of process for 7 years, state and tax correspondence for 3 years, and other mail for 30 days, unless you ask us to forward them or a legal hold applies.
- Signatures, filings, and billing records are kept as long as the law and our record-keeping obligations require.
- When you close your account, we delete or de-identify the rest once any remaining appointment has ended and required retention periods have passed.
Security
Access to documents is enforced in our database for every request, not only in the app. Sensitive documents are visible only to people you allow, and anyone who has set up two-step sign-in must use it to open them. Staff access requires two-step sign-in. Data is encrypted in transit and at rest. Receipt and delivery records cannot be edited; corrections are added as new entries. No system is perfectly secure, so please protect your password and tell us right away if you suspect unauthorized access.
Your choices and rights
You can update your profile and notification preferences in the portal at any time. You can ask us to provide a copy of your information, correct it, or delete it by writing to us. Some records must be kept for legal reasons, and we cannot delete information while we remain your statutory agent of record. We will respond within 45 days.
Children
Our service is for businesses and is not directed to anyone under 18. We do not knowingly collect information from children.
Changes
We will post changes to this policy on this page and update the effective date. If a change materially affects how we use information we already hold, we will notify account owners by email.
